Scout guide

WeedeN CRM — guide for scouts

Everything you do in the field: sign in, install the app on your phone, add a location, put it on the map, take photos, write to your manager and close the tasks they give you. Ten minutes to read once, and you will not need it again.

⬇ Download this guide as a PDF — English · ไทย — to send to a new scout before their first sign-in

1 · Sign in

The CRM opens in the browser. There is nothing to download from an app store.

2 · Install the app on your phone

Do this once. Afterwards the CRM opens from your home screen like any other app — full screen, no browser bars, and notifications work.

iPhone (Safari)

  1. Open the CRM in Safari. Chrome on iPhone cannot install it.
  2. Tap the Share button (the square with an arrow, at the bottom).
  3. Scroll down and tap Add to Home Screen.
  4. Tap Add. The icon appears on your home screen.

Android (Chrome)

  1. Open the CRM in Chrome.
  2. Tap the blue Install button in the card at the top of the page — or the ⋮ menu → Install app.
  3. Confirm. The icon appears on your home screen.
The card at the top of the page reminds you of the exact step for your phone. Tap ✕ to hide it once you have installed the app.

3 · Turn on notifications

This is how you learn that a manager wrote to you or gave you a task while you were out — the phone buzzes even when the app is closed.

  1. Open the CRM from the home-screen icon, not from the browser. On iPhone notifications only work in the installed app.
  2. Tap 🔔 Notifications in the top-right corner of your leads list. A panel opens.
  3. In that panel, tap Enable on the line Turn on notifications for this device.
  4. Allow notifications when the phone asks.
  5. The line then reads 🔔 Notifications are on for this device. Do this on every phone you use.

Tapping a notification opens the exact lead it is about — and that is what marks it read. One you never opened stays bold, however many others you have been through, so the panel is a list of what you still owe an answer to. The panel keeps the last 30 days.

It lists the twenty newest. Show older at the bottom loads what came before, twenty at a time, and says how many unread are still under it — so a quiet week does not hide a task somebody left you a fortnight ago.

4 · Your leads

The first screen shows your locations, grouped by stage. You see your own work and nobody else’s.

The board is your hint about what comes next. Every column is a step a location goes through, and they run left to right in the order those steps happen. A card sits in the column of the last thing that was done to it — so the column to its right is the next step, and the column it is in tells you what is being worked on right now.

Your first job is to bring a location to Ready to sell/rent. Everything to the left of that column is yours: the photos, the landlord’s contacts, the terms on the ground. From there the office joins in — the traffic count, the model, the contract — but the card stays yours all the way to the signed contract: the office will come back to you for a missing photo, a measurement, an answer from the landlord, and the column shows which step that request belongs to.

A card that has not moved for weeks is the one to open. Nothing is late because somebody forgot it — it is late because a step is still waiting on something, and the board shows you which one.

Swipe sideways to reach the columns further right.

The board in Kanban view
Read the board left to right: the column is the next step
  • Search name / region finds a lead by any words of its name or region, in any order — khao takiab weedhub finds HH Khao Takiab hua thanon 9 weedhub. Faster than scrolling.
  • Kanban / List switches the view. Kanban shows where everything stands; List is easier to read on a small screen, and it is the one you can sort.
  • Every card carries its region in the region’s own colour and the date the location was created. In List, tap a column heading to sort — by name, by stage, by region, by price, by owner, by the date it was created or by when the lease ends.
  • Cards with a coloured strip on top are flagged: orange is a scout’s flag, red is a priority set by the office. They sit at the top of their column; the Marks filter shows only them.
  • A card shows Lease ends and the days left when the location has that date on it. Red is the last reminder before the lease runs out, orange is inside the reminder window, grey is everything else — too far off to remind you yet, or already over. Once the day has passed the line reads Lease ended and drops the count.
  • Tap any card to open the lead.
Only a manager moves a lead between stages. If a location is agreed or dead, write it in the card — see section 10 — and the manager will move it. Two stages have a condition: a lead cannot enter Contract signed or Shop opened without an Official name on its card — the manager is asked for it at the move.

Calendar — when the leases run out

The third view, beside Kanban and List. It lists your locations that carry a Lease agreement expires date, month by month, the nearest first — so the places about to come free are the first thing you read.

Each row says when the lease ends, how many days are left, and whether a reminder task has already been set on you for it. Later and Expired at the bottom fold open if you want them.

The Lease filter does the same in the other two views: it leaves only the locations coming free.

5 · The map

Tap Map at the top, next to Leads and Tasks. It shows your locations on the map, so you can see what you already have in an area before you go out, and not walk into a place twice.

Every dot is one of your locations, in the colour of its stage — the same colours as the columns of the board. Dots close together are joined into a numbered circle; tap it, or zoom in, to split it up.

The counter beside Filters says how many are shown and how many you have on the map in total.

Search lead name finds a location as you type — by its name or its Official name. Tap a suggestion: the map flies there and opens its card, even if a filter hides it.

Searching the map by name
Type part of the name and tap the location

Tap a dot and its card opens at the bottom: the stage, the date the location was created, its region, Rent / month, Rent / year, Takeover and Key money (a dash means the field is empty). The dot you tapped grows and gets a blue ring, so you always know which one the card is about.

Open lead → opens the full card. Close the small one with ✕, by swiping it down, or by tapping the map.

  • Satellite switches to the photo from above, with the street names on it — useful to find the building by its roof. Map switches back. Your phone remembers the choice.
  • ◎ at the bottom right shows where you are now. The first time, the phone asks for permission to use your location — allow it.
A location picked on the map
The picked dot gets a blue ring; its card is at the bottom

Filters chooses which stages are on the map. The number beside each stage is how many of your locations are in it.

A filter you left on the board — Regions, Tags, Lease and so on — applies to the map too, so you may see fewer dots. The sheet then says Also filtered on the board; tap Clear these to see all your locations again.

Unsuccessful deal is switched off every time you open the map, so the dots you see are the places still in play. Tick it when you want to check where an answer was already “no” — it stays on until you leave the map.

Reset puts the stage choice back as it was; Show … leads applies what you chose. Closing the sheet with ✕ keeps the map as it was.

6 · Add a location

The main thing you do in the field. Tap + New lead above your leads.

Fill in what the place is

  1. Region and Subregion — choose from the lists. Do this first: the business search only works inside the region you have picked.
  2. Then Find business. Type the name of the place into Find business and choose it from the list. This fills the street, the business name and the pin in one tap — the search runs on Google Maps and finds any place that is on it. Try it every time, even if you plan to type: it saves the typing, and it puts the pin exactly where Google has it.
  3. Street / place and Business — type them in English, and only if the search found nothing. Business may stay empty (a bare plot has none), but then Street / place has to say where it is — a region and a subregion alone are not a location.
  4. Name is written for you from those four and cannot be typed by hand here. To change it while you are filling the form, change the Street or the Business. Once the location exists, you can change its name from the card — section 7.
  5. Found it in an online ad? Open More fields (optional) at the bottom of the form and paste the link to the ad into Listing link: a Facebook post or group post, a Marketplace item, FazWaz, DDproperty. The lead gets the Online tag by itself.
Paste the link to the ad itself, not the business’s Facebook page or the owner’s profile. If the ad is taken down later, keep the link: it still shows where the location came from.
The new-lead form filled in
The name builds itself from the fields

Put it on the map — this is required

A location without a point on the map is of no use to anybody: it never appears on the company map and nobody can find it again. Set the pin in this order:

  1. Find business — if the place is on Google Maps, this puts the pin exactly where Google has it. Try this first.
  2. A link from the Google Maps app. If you find it easier to search in the Google Maps app on your phone, do that: open the place there, tap Share, copy the link, paste it into Google Maps link and tap Use link. A pasted link is a search, so the result is the same as Find business — the pin lands where Google has the place. A link somebody sent you works the same way.
  3. Tap the map or drag the pin — when the place is not on Google Maps at all: a bare plot, a unit inside a building, a shop with no listing. Stand at the place, or look at it from across the street, and put the pin on it.
The Create lead button stays grey until both are done: the pin is set, and Street / place or Business is filled in. That is not a fault — it is the app waiting. If the button is grey with the pin already on the map, the name is still only the region and the subregion.

7 · The lead card

Everything about one location lives here: the numbers, the map, the photos, the conversation and the tasks.

Tabs

Under the head of the card there are tabs: Fields, Competitor, Files — and History on the phone. A card always opens on Fields: your tasks, the fields, Location and Contacts. Competitor holds the competitor’s details and sales (section 8). Files holds photos and documents (section 9).

The top of the card

The name first. Under it, in a fixed order: the current stage as a coloured pill, the region in the same colour the board paints on the card, the total price, and who owns the lead.

Two small square buttons sit with them and open the place on a map: 📍 the exact pin we hold for this location, and G the business on Google Maps. Use 📍 to walk back to the place. G appears only when the lead has a Google Maps link saved on it.

Changing the name

Tap the name — or the region beside it — and a panel opens. The name is built from the same four things you filled in when you created the location.

  1. Region and Subregion are lists. Pick from them; you cannot type your own.
  2. Street and Business you type yourself, in English.
  3. New name shows what the name will become, Current what it is now. Read those two lines, then tap Save. Cancel leaves everything as it was.
On an older location the whole old name is put into Business for you. That is on purpose — nothing is thrown away. Leave it as it is, or tidy it up.
Changing the Region moves the location in the office reports. Change it only when the place really is in another region — not to fix a spelling.
The name panel open on the card
The new name is on screen before you save it

Tags

Tags are one-word answers to what kind of place is this — Agent, Competitor, Office. They sit in a row under the name.

  1. Tap + tag. A list of the tags the company uses opens — pick one.
  2. Tap × on a tag to take it off again.
You pick from the list; you cannot type a new tag. That is on purpose — three spellings of one word are three different tags, and the office would count them as three different things. If the tag you need is not in the list, ask your manager: creating tags is their job.

One tag has no ×: AmoCRM. It records that the location came over from the old system. That is a fact about where the lead is from, so nobody puts it on or takes it off.

You do not need to put Online on by hand: it appears by itself when the lead gets a Listing link.

The tag menu open on the card
The list is what you may put on this lead

Flag for the manager

Found a place worth a second look? Under the stage on the lead card, tap ⚑ Flag for the manager. Your manager gets a notification, and the card shows an orange strip on the board: Scout: worth a look. Tap × on the flag to take it back.

When the office marks the lead Priority, a red strip, the flag is replaced and only the office can remove it.

Fields — the numbers about the place

  1. Tap a value to edit it. Tap ✓ or tap away to save.
  2. A short ✓ saved appears on the row. If it does not, the value did not save — check your connection and try again.
  3. Group headings (General, Commercial terms, …) fold away. Your choice is remembered on your phone.

Some fields are read-only for scouts — your manager decides which. If a value will not open for editing, that is why.

Listing link (in General) is the online ad where the place was found. Tap ✎ to paste or change it, open ↗ to see the ad. Saving a link puts the Online tag on the lead by itself.

Every change you make is recorded: what the value was, what it became, and that it was you. Your manager sees it in the lead's history. That is normal — it is how the office follows your work without calling you.
The fields panel
Tap a value to change it

When the lease ends

One field is worth more than the rest: Lease agreement expires, in Location & premises. It is the day the current tenant’s lease runs out.

Fill it in whenever you learn it — from the tenant, from the landlord, from the agent. Fill it in on the places we did not get, too. A landlord who says no today is not saying no for ever: the day that lease ends is the day the place is free again, and that date is our way back to it.

CRM does the remembering. Well before that day, and again as it gets close, it puts a task on you: go and ask whether the place is coming free. The office sets how far ahead — today five months and then one month. You do not have to keep a single date in your head.

No date, no reminder. Learn a better date later — change it, and the next reminders follow the new date; a task already sent stays on your list, so close it. If your manager has hidden this field from scouts you will not see the date, the line on the card or the Calendar at all — ask them.

Location — fixing the pin later

If the pin turned out to be in the wrong place, open Location, tap Edit, move the pin and save. The company map follows.

Moving the pin is recorded the same way a field is — the point it was at, and the point it is at now. So if it ever moves by accident, nothing is hidden: put it back and that is recorded too.

8 · Competitor sales and receipts

On a competitor’s lead, open the Competitor tab. Under the competitor’s details is everything we know about its sales.

Sales estimates

One row per source: POS export, Bills, Manager said, Budtender said, Video. Each shows its latest figure in THB a month and when it was measured; older figures are under History.

Tap + Add on the row of the source you have: the amount a month, the date, a comment — who said it, which export. For Video: the days you counted, how many people walked in each day and the share who bought; the amount is computed for you. Bills you do not type — it comes from the receipts below.

Each source keeps its own figure

Receipt checks

Buy something, keep the receipt, log it:

  1. Tap + Add receipt.
  2. Purchase date, and the Receipt number exactly as printed — with the POS number if it has one: 1-28713.
  3. A photo of the receipt is required: take it, pick it from the gallery, or choose a photo already in Files.
  4. Tap Save receipt.

Two receipts bought on different days give the receipts per day and the sales a month. Two from the same day give no figure — come back another day. Our own receipts are subtracted automatically.

The receipt form
The number as printed, with its POS number

Receipt numbering — set it once per competitor: Continuous; Resets yearly; Resets daily (the purchase time is then required — buy close to closing time); No receipt number (a receipt check is not possible). Average check is 500 unless you change it.

≥ means at least: a POS with only one receipt so far, or numbering that resets daily.

A mistake can be fixed for 24 hours — Edit, Delete, or Exclude from the count. After that, ask your manager.

9 · Photos and files

Photos and files are on the Files tab; receipt photos show there too, as a separate Receipts group. Photos are what the office sees instead of standing next to you. Take more than you think is needed: the front, the street both ways, the inside, the ceiling height, the neighbours.

  • 📷 Take photo — opens the camera.
  • 🖼 Choose from gallery — photos or videos you already have.
  • 📎 Attach document — a PDF, a Word or Excel file, a floor plan.

Pick as many as you like — there is no limit on how many. Two upload at a time and the rest wait their turn, each with its own progress, so a file sitting at 0% is queued, not stuck. Tap a photo to open it full screen; swipe for the next one.

What fits

PhotosJPG, PNG, HEIC, HEIF, WebP, DNG, TIFF50 MB each
VideoMP4, MOV300 MB each
DocumentsPDF, Excel (XLSX, CSV), Word (DOCX)50 MB each

A photo from a phone is 3–5 MB, so you will never reach 50 MB with pictures. Video is the one to watch: a couple of minutes at full quality can pass 300 MB. Film short clips.

Anything else — a ZIP, a Pages file, a screen recording in an odd format — is refused before it is sent, and says so on the file: photos, video, PDF, Excel or Word only, or over 50MB. Nothing is wasted and the other files keep going. If you must send one, send it to your manager another way and write a note in the lead saying what it is.
While a photo is uploading, keep the card open. If the signal drops the upload waits and continues by itself when you are back on the network — but closing the page throws away what has not finished.

10 · Messages and notes

The conversation about a location lives in the location, not in a chat app. Everyone who works this lead reads the same history, today and in a year.

💬 Message

Addressed to one person. Choose them in To. Their phone buzzes and the notification opens this lead. Use it when you need an answer.

📝 Note

For the record — no recipient, no notification. Use it for what you saw, what the landlord said, what you agreed.

📎 Attach file adds photos or documents to the message itself. A message can be a photo with no text. Same types and sizes as in section 9.

Two shorter ways to the same thing:

  • Paste a picture. Take a screenshot — of a map, of a chat with the landlord, of a price list — then copy it and paste it into the message box, the same way you paste text. It goes on the message as a file. If what you copied is text, you get text: nothing is attached.
  • Drag a file. On a computer, drag a file onto the card and drop it. The card darkens and says where to drop. There is nothing to drag on a phone — paste, or use 📎 Attach file.
The History tab shows everything that happened to this lead — messages, notes, field changes, stage moves, tasks. Show older loads what came before.

11 · Tasks

Managers give tasks; you do them and close them. A task always belongs to a lead, so you can see what it is about.

  1. A new task arrives as a notification. The Tasks block at the top of the card shows how many are open.
  2. Tap it to open the list, then tap a task to see its details and the discussion.
  3. A task can carry photos or documents, the same as a message. They sit under the words of the task — tap one to open it full screen.
  4. When it is done, tap ✓ Complete… and write what you did — a couple of words is enough, but it cannot be empty. That sentence is what the manager reads instead of asking you.
  5. Some tasks nobody typed: Lease agreement expires on 30.09.2026, 1 month left. Check availability with the tenant and landlord. CRM sets those itself from the date on the card — under your manager’s name, or from the system if you have no manager. Close it like any other — with a couple of words about what the landlord said.
  6. Need to say something without closing the task? Write a comment in the same place.
  7. A manager can also close a task themselves — if one leaves your list without you touching it, a notification tells you so. A closed task says Closed by and the name, so it is never a guess whether you closed it or somebody did it for you.
  8. All of it in one place: Tasks at the top of the screen, beside Leads, is every task on you across every location — the answer to “what do I owe today”, without opening cards one by one. It groups them Overdue, Today, Upcoming and No due date, keeps Open and Completed apart, and searches by the task, the location or the region. Tap a row and it opens that lead with that task already open.
You cannot create tasks — that is the manager’s job. If you think something needs doing, write a message about it.

12 · Contacts

A contact is a person — a landlord, a tenant, an agent — and the same person can sit on several leads. Their numbers live in one card, so nobody types them twice.

On the lead card

  1. Contacts shows each person as a small card: name and role on top, then one line per number, LINE, Telegram and email. Call, WhatsApp and Open take you straight to the right app. The grey tags next to a number say which messengers it has.
  2. Shared means the same person is also on someone else's lead. You can add to it — a number, another name, a tick — but what others entered stays as it is. Also on lists their other leads with the stage and the owner.
  3. The lead's history records every contact added, linked or removed, and who did it.

Tap a name to open the whole contact

Adding and changing

  1. To add someone, tap + Add contact and fill in the card. As soon as you type a phone, LINE ID, @telegram or email, the CRM checks it. If it already knows that person it shows Already in the CRM: This belongs to … — Yes — link to this lead, Yes — and add another name (the name you know them by) or No — different person, and you carry on filling the card. If the person is already on this lead, it says Already on this lead and the button reads Yes — it’s the one already here.
  2. Someone you already have on another of your leads? Start typing their name: Already in your contacts lists the matches from your own leads — tap Link to this lead. Other people's contacts are found only by a phone, LINE, Telegram or email.
  3. Each phone has ticks for WhatsApp, LINE and Telegram. A number that stopped working: tick Doesn't work — it stays, struck through, so nobody calls it again.
  4. LINE: type the LINE ID, @shop or the invite link — or tap Scan QR and pick a photo or a screenshot of their LINE QR code. A display name (with spaces or Thai letters) is not an ID: ask for the ID or the QR.
  5. To change a contact, tap ✎. At the bottom of that form, Remove from this lead takes the person off this lead only — their card stays on their other leads.

The whole contact

Tap the person's name on the lead card. The contact opens over the lead: every number, all the leads they are on with the stage, and the history of changes — who added what, and when. Edit changes it right there. Close it with × and you are back on the lead, where you were.

The Contacts page

  1. Contacts at the top of the screen is the list of all your contacts, latest changes first. Each row shows the person, their number with Call / WhatsApp, and their leads with the stage — tap one of your leads to open it (someone else's lead is shown, not linked), tap the name to open the contact. Search by name, number, LINE, Telegram or email; Show 200 more at the bottom loads more rows.
  2. A red number on Contacts counts contacts waiting for a role — imported cards that only said “owner”. Answer Owner of what? right in the row: Building, Business or Both.
Two cards that are really one person? Tick both in Contacts and tap Merge these two. You can merge away a card that is only on your own leads and shares a number, LINE, Telegram or email with the other one; anything else — ask a manager.

13 · When something goes wrong

“Access denied” when signing in. You used the wrong Google account. Sign out and use the invited one.

The Create lead button stays grey. Two things can cause it. Either the pin is missing — set it by tapping the map or by pasting a Google Maps link. Or the name is still only the region and the subregion — fill in Street / place or Business.

A photo will not finish uploading. You are on a weak network. Stay on the card; it resumes by itself. If it fails, the photo can be added again — nothing else is lost.

No notifications. Open the app from the home-screen icon (not the browser), tap 🔔 Notifications, tap Enable in the panel that opens, and allow them when the phone asks. The bell alone only opens the panel — the phone asks nothing until you tap Enable. On iPhone this only works in the installed app.

A value will not open for editing. That field is read-only for scouts. Write what it should be as a message and the manager will set it.

The screen turned Thai by itself. The browser translated the page. Switch it back — Chrome ⋮ → Translate → Show original — because a translated screen also renames your locations, and then the name you see is not the name your manager sees. To read the guide in Thai, use the Thai guide, not a translated app.

Something else. Write a message in the lead and say what you expected to happen — your manager sees it with the lead in front of them.
